Packaging machinery site-readiness guide

Site readiness is the controlled work needed before machinery arrives: confirming access, space, services, interfaces, production materials and responsibilities. A readiness review reduces avoidable delays and helps commissioning begin with the site in the condition assumed by the project.

Prepare the building, the line and the people

Readiness is not limited to connecting power and air. The installation route, operating envelope, retained equipment, safety boundaries and test materials all need an agreed owner.

Prove the access route

Measure doors, corridors, lifts, ramps, floor loading constraints and turning space from unloading point to final position. Include packaging, lifting points and any equipment that must be removed or reassembled.

Confirm the operating envelope

Mark the proposed footprint and allow for doors, panels, tooling changes, replenishment, cleaning and maintenance. Check that operators and material movements do not conflict with guarded access.

Close interface actions

Record the status of electrical, pneumatic, extraction, drainage, network, conveyor, guarding and production-control interfaces before the attendance date is agreed.

Layout and access

Validate the route into the building and the space around the machine

A drawing can show that machinery fits in the production area while overlooking the route needed to deliver it. Check the packed shipping dimensions, unloading method, door openings, ceiling restrictions, floor changes and space for safe manoeuvring. If the machine must be split, tilted or partly dismantled, that method should be agreed before dispatch.

At the final location, the machine footprint is only part of the requirement. Allow for guarding doors, electrical panels, product replenishment, removal of change parts, cleaning access and service work. Verify that nearby fire routes, drains, columns, stored materials and operator walkways remain usable.

  • Photograph and measure the full installation route, including external access.
  • Mark machine and conveyor positions on the floor before final layout approval.
  • Check overhead obstructions, low beams, pipework and cable trays.
  • Confirm who provides unloading, lifting equipment, permits and competent operators.
Utilities

Confirm the quality, capacity and termination point of every service

Utility information must describe more than a nominal supply. Electrical review should include available voltage and protection, isolation location, cable route and responsibility for final connection. Compressed air review should consider pressure, flow, quality, isolation and the effect of other equipment operating at the same time.

Depending on the process, water, drainage, steam, extraction, ventilation, product supply or data connections may also be relevant. Termination points should match the approved layout, and services should be available for commissioning rather than scheduled after the machinery engineer arrives.

  • Obtain the confirmed equipment utility schedule before completing site work.
  • Label isolators and confirm that safe access is available.
  • Check air and electrical capacity under representative factory demand.
  • Record any customer standard for plugs, sockets, cable containment, network security or hygienic installation.
Line interfaces

Treat existing equipment as part of the installation scope

A new machine may need to match the height, speed, direction and control behaviour of equipment already on site. Survey the real installation rather than relying on an old drawing. Record transfer geometry, guide-rail range, available accumulation, sensors, emergency-stop zones and the expected response when either machine is stopped.

Where the customer or a third party supplies conveyors, guarding, extraction, coding or inspection, the interface schedule should show design responsibility, installation status and test ownership. An unresolved boundary can prevent safe or stable line operation even when both machines work independently.

  • Confirm product condition and orientation at each hand-off.
  • Identify who supplies interface brackets, sensors, cables and software changes.
  • Agree blocked, starved, stop, reset and fault-recovery behaviour.
  • Verify any third-party attendance required during commissioning.
Commissioning readiness

Have representative products, packs and people available for the agreed tests

Commissioning cannot demonstrate the intended process without suitable materials. Reserve representative product, containers, closures, labels, film, cartons or cases in the quantities agreed for setup and testing. Components should reflect normal production variation and be stored in the condition in which they will be used.

Nominate operators, engineers and decision-makers who can support the work. Provide site induction, permits, cleaning facilities and safe access. Any known deviation from the trial material, layout or utility assumptions should be disclosed before the visit so the effect can be assessed.

  • Stage materials close to the line without obstructing work areas.
  • Confirm disposal or quarantine arrangements for trial packs and product.
  • Arrange access to retained machines, controls and network support.
  • Define who can accept changes and close site actions.

Use the checklist as a project gate. An item marked open should have an owner, due date and agreed effect on the programme.

Evidence to send during the readiness review

A remote review can close many issues before travel when the information is clear and current.

  • Dimensioned layout showing the final equipment position.
  • Photographs and video of the unloading and installation route.
  • Utility test information and photographs of connection points.
  • Survey data for retained conveyors and machines.
  • Status list for guarding, extraction, drainage, coding and network actions.
  • Production-material availability and format list.
  • Names and roles of people supporting installation and acceptance.
  • Open-action register with owners and due dates.

Use one readiness owner

Nominate a person who can coordinate facilities, production, engineering, health and safety, IT and suppliers. A single readiness record prevents separate teams from assuming another party has completed an interface.

When should a site-readiness review take place?

Begin while the layout and interfaces can still be changed, then repeat the check shortly before delivery or commissioning using current photographs and action status.

Can machinery be commissioned before every downstream machine is installed?

Sometimes individual functions can be checked, but integrated operation and acceptance may be limited. The project should define which tests are possible and which remain outstanding.

Who should make the final electrical connection?

Responsibility depends on the agreed scope and site rules. Record whether it is provided by the machinery supplier, customer or another contractor and ensure the required competent personnel are available.

Why are representative packaging components important?

Setup and transfer behaviour can depend on real component dimensions, stiffness, finish and variation. Substitute materials may not prove the intended production condition.

What happens if access dimensions are uncertain?

Do not rely on a visual estimate. Re-measure the route and compare it with the confirmed shipping configuration before dispatch arrangements are finalised.
